Policies & Procedures

 

Carolina Gymnastics Center's Policies and Procedures are intended to ensure fairness to all members and allow us to operate in a business-like manner.  If you have any questions or concerns, please ask.

 

Tuition and Fees for
Regular Season Classes

The annual registration fee is non-refundable and will not be pro-rated.  The fee is not due again until the next season, beginning in the Fall.


Tuition is due the 1st of every month.
If you enroll in
Automatic Draft you receive a $5 monthly discount.

We also offer a 10% Military discount in appreciation of our Military community. A valid Military ID is required at the time of enrollment.

 

Payments

At the time of enrollment, the registration fee and first & last month's tuition are due (Unless you enroll in Automatic Draft).

 

If you enroll in our automatic draft or automatic credit card payment plan, then only the registration and first month's tuition is due at the time of enrollment.  The automatic draft will begin the following month. To sign up for automatic payments, print and fill out the EFT form.

 

 

Payments are made on a monthly basis. Tuition does not fluctuate due to a 4 week or 5 week month and all holidays are incorporated into our schedule. Therefore make up classes are not given for Holidays. We do not prorate the month if you miss a class, however we do allow you to make-up the class.  We bill on a monthly basis, and unless you formally withdraw your child from class via written notice you will continue to be billed until the term ends in May. If you wish to withdraw your child from our program, we require  written notice  a minimum of 30 days prior to the drop date. Failure to do so, and because your child is included in all class ratios, you will be held responsible for all charges incurred. No exceptions. No refunds.

 

All accounts must remain in good standing. It is the customer's responsibility to ensure their account is up to date: including payments and changes in information. Any account that is over 30 days past due: the child will be dropped from class. Though we send out monthly billings, no notice is required from the gym.

 

FREE Trial Class

As a courtesy, a student who has never taken classes can try one class at no charge from our current class schedule before deciding to enroll. A Trial Class does not guarantee a spot in the class. All fees must be paid immediately following the Trial in order to reserve your child's spot in that class.

 

Make-Ups

If a class is missed for any reason, the student is entitled to a make up lesson in a similar class. All classes missed must be made up within two weeks of the time missed and must be scheduled in advance. Please call the front desk (788.2808) schedule your make-up lesson.

 

Withdrawing from Class Policy

You are responsible of notifying the front desk in writing at least 30 days prior, if your child is withdrawing from our program.  Although we bill on a month-to-month basis, we are expecting your child to continue each month unless we are notified.  Since we maintain a low student-teacher ratio and we are holding a place in the class for your child, it is important that you notify the front desk in writing at least 30 days prior to the month you wish to drop. There are absolutely NO refunds.  If you do not notify the front desk that your child is withdrawing, you will continue to be billed until such notice is given.

 

Transfer To A New Class

If you need to transfer to another class, you MUST first notify the front desk before attending any other class. We need to be sure the class has openings first.

 

Illness

If your child has been sick in the past 24 hours, please do not bring him/her to the gym.  If your child has had a fever, yellow-greenish mucus from his/her nose, vomited or had diarrhea in the past 24 hours, then they need to stay away from other children.


Children must be free of fever, without the aid of medication, for a minimum of 24 hours before participation in class.  As with any children's, program keeping the children and staff healthy keeps us all happy!


Please do not bring sick siblings into the gym.  If they are home sick from school then they should not be brought into the gym, even just to observe in the lobby.

 

Classes

All legal guardians are required to sign the Acknowledgment of Risk and Waiver of Liability upon registration before your child can participate in classes.  This is a requirement of our insurance carrier and a means to inform you, that as with any sport or physical activity, there is a risk of injury.


Please dress your child appropriately in snug but comfortable clothing (no denim, buttons, zippers, or belts) that they can move in.  Socks may be worn but bare feet are preferred .
 

Long hair must be pulled back away from the face.  This is for the safety of your child and for ease in spotting for our instructors.


Children should not wear rings, bracelets, anklets, or dangling earrings.  If your child does so, he/she will be asked to remove the jewelry.  We are not responsible for holding or keeping these items for you child.  Also, we are not responsible if the item becomes lost or misplaced.


No gum, food, or drink is allowed in the gym.  We encourage the children to drink water and breaks are given for them to do so at the water fountain in the gym.


Parents and guests are encouraged to watch their children from the lobby.  Please don't enter the gym unless a coach asks you for your help.  If for any reason you should need your child, please ask the front desk for assistance.


We aim to keep accurate age ranges in all classes for the benefit of all our members and the way the curriculum is taught.  If your child has a birthday and you wish to move him/her to the next age-appropriate level, please contact the front desk.


If your child is enrolled in a Playful Parenting class and has siblings, we ask that you make arrangements for them prior to class.  If the sibling is young enough to be kept in a carrier seat and will not be mobile in the class, we can allow the sibling in class.  If it's and older sibling, he/she will have to wait in the lobby.  Our staff is very busy and cannot be responsible for children waiting in the lobby, therefore please be certain that the child acts in a responsible manner if left in the lobby.


For the safety of all the gymnasts, please do not use flash photography at any time.  Special arrangements can be made with the instructors for pictures.

 

Responsibilities

We make every effort to monitor children after classes.  Parents need to be on-time to pick up their children.  Many children get very anxious when class is over and they don't see Mom or Dad.


Please let us know if someone else is picking up your child.


Carolina Gymnastics Center is not responsible for items left in the gym or lobby.  We maintain a lost and found box but cannot promise your item will be found.

 

It is the responsibility of the parent to update records when needed. To keep auto-draft accounts current. And to notify the front desk in writing 30 days in advance of any drops or transfers of your child.

 

Open Gym/Special Events

Each month various special events may be offered at the gym.  Your child will receive this information in class or you can pick up a flyer at the front desk.  These events are intended to allow students to practice skills they have learned in class or to just have fun with friends and fellow students in a supervised and safe environment. There is an extra cost to these events.
